POSITION SUMMARY
Anmar Mechanical is seeking an experienced and detail-oriented Project Controls Specialist to join our project delivery team. The Project Controls Specialist will be responsible for supporting the successful financial, schedule, and commercial management of construction projects by maintaining accurate project controls systems, monitoring costs and progress, forecasting project performance, and providing timely reporting to project management.
The successful candidate will work closely with Project Managers, Site Supervision, Estimating, Accounting, Procurement, and the client to ensure project performance is accurately tracked and communicated.
This is a hands-on position requiring strong analytical skills, attention to detail, commercial awareness, and the ability to identify project trends, risks, and deviations before they impact project performance.
KEY RESPONSIBILITIES
Cost Control & Forecasting
- Maintain accurate project cost control systems and ensure project costs are properly coded and allocated.
- Monitor committed, incurred, forecast, and actual project costs.
- Prepare and maintain project budgets, forecasts, and Estimate at Completion (EAC) reports.
- Review project cost performance and identify variances, trends, and potential overruns.
- Assist Project Managers with monthly forecasting and project financial reviews.
- Track labour, material, equipment, subcontract, and other project expenditures.
- Reconcile project cost reports against accounting and project records.
- Monitor productivity and labour performance against budget and forecast.
- Identify potential cost exposure and communicate concerns to Project Management.
Progress Measurement & Reporting
- Establish and maintain project progress measurement systems.
- Track planned versus actual progress and provide regular performance reporting.
- Prepare weekly and monthly project controls reports.
- Monitor productivity, earned value, labour hours, quantities installed, and project milestones.
- Support the preparation of progress billings and validate reported progress against actual project performance.
- Review field-generated quantities, timesheets, cost reports, and production data for accuracy.
- Develop and maintain project dashboards and key performance indicators.
Change Management
- Maintain project change logs and ensure all potential changes are identified, documented, and tracked.
- Track RFIs, Field Work Instructions (FWIs), Work/Purchase Instructions (WPIs), Change Directives, Change Orders, and other client-authorized work.
- Monitor approved and pending changes and their impact on project cost and schedule.
- Assist in preparing change order pricing, supporting documentation, and commercial submissions.
- Ensure approved changes are incorporated into project forecasts and cost reports.
- Maintain clear documentation supporting entitlement, valuation, and project impacts.
- Identify potential changes and commercial exposures that may not yet have been formally recognized.
Schedule & Project Performance
- Assist with progress tracking, and forecasting.
- Track project milestones, critical activities, and key deliverables.
- Identify schedule trends that may create cost or commercial exposure.
Contract & Commercial Support
- Assist Project Management with contract administration and commercial controls.
- Review contract requirements relating to cost, schedule, billing, changes, and reporting.
- Maintain supporting documentation for claims, change orders, delays, and other commercial matters.
- Assist with preparation of project correspondence and supporting documentation related to commercial issues.
- Track contractual notices and deadlines.
- Support the development of detailed cost reports and backup documentation required by clients.
- Ensure project records are sufficiently detailed to support future commercial reviews, negotiations, and claims.
- Manage Revenue for Projects
Data Analysis & Documentation
- Analyze project data to identify trends, risks, opportunities, and areas requiring corrective action.
- Maintain accurate and organized project controls records.
- Develop spreadsheets, reports, dashboards, and other project-control tools as required.
- Ensure project information is current, accurate, and readily accessible.
- Maintain confidentiality of project and company financial information.
- Continuously improve project controls processes, templates, reporting systems, and procedures.
REQUIRED QUALIFICATIONS & EXPERIENCE
- 3+ years of experience in project controls, project coordination, cost control, project management, or a related construction environment.
- Experience within the mechanical, industrial, mining, or construction industry is considered an asset.
- Strong understanding of construction project costing and financial controls.
- Experience with project forecasting, cost reporting, progress measurement, and change management.
- Strong knowledge of Microsoft Excel, including formulas, data analysis, pivot tables, and reporting.
- Experience working with project management, ERP, accounting, or project controls software.
- Ability to interpret project schedules, budgets, contracts, drawings, and cost reports.
- Strong analytical and problem-solving abilities.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- High level of accuracy and attention to detail.
- Ability to work independently while also collaborating effectively with project teams.
PREFERRED QUALIFICATIONS
- Diploma or degree in Construction Management, Engineering, Business Administration, Finance, Project Management, or a related discipline.
- Experience with Primavera P6, Microsoft Project, or similar scheduling software.
- Experience with ERP/project management systems.
- Experience with T&M, lump-sum, unit-rate, or reimbursable contracts.
- Experience supporting change orders, claims, delay analysis, and commercial negotiations.
- Construction estimating or quantity surveying experience.
- Experience working on large industrial or mining projects.

- Continuously improve the effectiveness and efficiency of Anmar’s project controls processes.
